1. Submit a deletion request
Email info@srisunpolytex.com from an address you can access.
Use the subject Ordo ERP Data Deletion Request and include the WhatsApp number concerned in international format, for example +91XXXXXXXXXX.
Please include:
- your full name and, where relevant, your business or organisation;
- the WhatsApp phone number whose data should be reviewed;
- your relationship with Srisun, such as customer, supplier, employee or other contact;
- the approximate date or subject of the relevant communication;
- whether you want deletion of all applicable data or only specified messages, attachments or records; and
- any information that helps us locate the correct Ordo ERP record without sending unnecessary sensitive data.
2. Identity and authority verification
We must protect users against fraudulent deletion requests. We may ask you to confirm control of the WhatsApp number, reply from the relevant business email address, verify an existing transaction or provide another proportionate form of confirmation. An authorised representative may be asked to provide evidence of authority.
Do not email passwords, one-time passwords, full payment-card details or unnecessary identity documents. We will request only the minimum information reasonably required to verify the request.
3. Data covered by the request
A verified request may cover applicable Ordo ERP records such as:
- your WhatsApp phone number, WhatsApp user identifier, profile name and contact-directory details;
- message bodies, captions, replies and interactive responses stored in the ERP inbox;
- media identifiers, attachment metadata and stored copies of documents or media where applicable;
- Meta message identifiers, delivery/read/failure status, timestamps and error information;
- assignment, follow-up and communication-history records; and
- personal data in related quotations, reports, invoices or operational records where deletion is legally permitted.
This process deletes data controlled by Srisun in Ordo ERP and connected storage systems. It does not itself delete your WhatsApp account, your copy of a chat, another participant’s copy, or information Meta processes independently under its own terms. You must use Meta or WhatsApp account tools for those separate requests.
4. How we handle the request
- We aim to acknowledge the request within seven business days.
- We verify identity or authority and identify the relevant Ordo ERP records.
- We assess whether any record must be retained for a legal, tax, accounting, contractual, security or dispute purpose.
- We delete, de-identify or irreversibly anonymise the applicable data.
- We confirm completion or explain any data that could not lawfully be deleted.
We aim to complete a verified request within 30 days. A complex request may take longer, in which case we will explain the reason and provide an updated response date. Residual copies may remain in protected backups until the normal backup cycle completes, and they will not be restored for ordinary business use after deletion.
5. Information we may need to retain
We may retain limited information where reasonably necessary to:
- comply with Indian company, tax, accounting, employment, contractual or other applicable law;
- establish, exercise or defend legal claims and resolve disputes;
- detect fraud, abuse or security incidents;
- honour your opt-out or prevent an unintentionally renewed contact; or
- document that the deletion request was received and completed.
Where full deletion is not permitted, we will restrict the retained data to the relevant purpose and remove or mask information that is no longer necessary where reasonably possible.
6. Stop future WhatsApp messages
You may separately ask us to stop non-essential WhatsApp messages by replying with a clear opt-out request or by emailing info@srisunpolytex.com. We may retain a minimal suppression record so that your preference is respected.
7. Questions or grievance escalation
For a question about the outcome, reply to the deletion-request email and use the subject Ordo ERP Privacy Grievance. Include the date of the original request and the response you want reviewed. We will route the matter to an authorised company representative for reconsideration.
Our processing is governed by applicable Indian law, including the Digital Personal Data Protection Act, 2023 and rules in force under it. Subject to mandatory statutory forums, jurisdiction lies with the competent courts in Dindigul District, Tamil Nadu, India.
